How to set condition to exclude some emails?

Setting a condition to exclude certain emails is a straightforward process. With just a few simple steps, you can easily define the criteria to exclude specific emails from a scenario.


To begin, access the desired scenario. In the step 2, you will find an option to add one or more rules. By specifying the appropriate rules, you can effectively exclude emails that meet certain criteria.


These rules can be based on various attributes of the emails, such as the sender (or a list of sender), subject, or keywords within the email body. You have the flexibility to customize the rules according to your specific requirements.


By utilizing this feature, you can ensure that only the desired emails are processed by the scenario, while excluding any emails that meet the specified criteria, or you can invert and exclude the emails that doesn't meet the rules.


Setting conditions to exclude emails provides you with greater control and precision in managing your email workflow. It streamlines the process, allowing you to focus on the emails that are most relevant and important to you.


In this example, we show you how to not process actions when the email is coming from a list of email addresses. 


1. After editing the scenario, click on 'Next' to access the condition panel:

  • Click on 'Add a rule' to set a condition
  • Specify the rule as "If the sender is NOT in this list"
  • To create a new list of emails, click on 'Edit the lists'.

2. Create a new list

  • You can access the list editor from the condition (click on 'Edit the lists') or from the tools (left menu 'Tools').
  • Create a new list, then enter a name to identify it.
  • Add the emails addresses (one per line) to add in this list, you can also add a part of the email, for example: @yahoo.com or order@

3. Now select the list you just created in the rule

4. In summary:

The scenario will now exclusively process the specified actions (printing emails, saving emails, etc.) if the sender's email address is included in the custom list you have created. Similarly, you can apply the same approach to process emails based on the inclusion of the sender's email address in the list.
