Action: Merge and save email content with attachments as a PDF

Combine an email and its attachments into one PDF, ready to archive. Everything from a single message stays together in one file. 



General settings

Folder
Where the PDF is saved. Local and network folders are both supported. You can use fields to organize files automatically. If the folder doesn't exist, it is created for you.

Note: For a network folder, always use the full network path, for example \\myserver\disk\folder. Avoid mapped drive letters like X:. They aren't available when Automatic Email Manager runs as a Windows service (when no user is logged in).


File name
The name of the PDF. Include fields to make each name unique, for example the date or the subject. You can also use field functions to keep only part of a value (see Use fields functions to extract part of your data).


Paper size
The page size of the PDF.


Keep original page size for each document
By default, each converted document keeps its own page size. Turn this option off to apply the same page size to all pages.


Add a stamp
Add a stamp or page numbers on the pages, for example Received on with the date, or Shipped. Create your stamps in Tools, then Stamp templates.


Email section

Merge email body with attachment(s)
Turn this on to include the email body in the PDF. Turn it off to merge only the attachments.


Merge email body first
Place the email before the attachments. Turn it off to place it after.


Merge into a single PDF file
Turn this off to create one PDF per attachment, each one including the email body.


Use AI content analysis
Let AI process the email content and make the result available in the %EMAIL_BODY% field. Learn more.


With template
Choose the visual template used to display the email body. You can add or edit templates from here.


Use these email data
By default, the full HTML content of the email is used. Select another source, or a data extractor template, to include only a specific part of the email (see Extract data from an email).


Attachment options

Condition (optional)
Merge only the attachments you need, based on their file name or content. For example, set Contains .pdf to merge PDF files only.


Use AI content analysis
Let AI process the content of the attachments and make the result available as a text file. Learn more.


Protected files
If you receive password-protected documents (Word, PDF, Office, and more), enter the possible passwords, one per line. Each one is tried until the file opens.


File type options
Each file type (PDF, Excel, Word, image, and more) has its own options. Follow the instructions on screen.


Tips

  • If a protected file can't be opened, it is not merged and the action is reported as failed in Activities.
  • To keep the email and each attachment as separate files or in original format, use Save email to disk and Save attachment(s) to disk instead.
